Primary Job Functions:
Clerical job responsibilities. Does or supervises staff who:
- Greet visitors in administrative area and determines their access to staff.
- Answer and screen telephone calls, directs calls to the appropriate party or records messages.
- Manages Outlook calendars for assigned staff and meeting spaces.
- Arranges special events, meetings, luncheons and conference calls.
- Collects and compiles data for analysis.
- Prepares new employee orientation packets.
- Ensures administrative areas and meeting spaces are neat, presentable, and have ample supplies.
- Facilitates and/or assists with projects as assigned by supervisor.
- Maintains scheduling and staffing.
- Engages in interviewing and hiring staff, posting vacancies promptly
- Engages in the supervision, training, education, leading by example, day-to-day oversight, and disciplinary action of unit clerks and mental health techs.
- Any other duties as assigned.
- Completes assigned tasks in a timely manner.

Answers front desk telephone as needed
- Receives patient requests for appointment/information and changes
- Records all telephone messages accurately and transfers to appropriate person in a timely manner.
Handles routine requests from clinicians as needed
- Cancels and reschedules appointments as necessary
- Schedules patient appointments with outside agencies as requested
- Verify kept appointments in scheduling system or manual method
- Have patient sign in
- Direct patient to appropriate waiting area
Responsible for supervisory functions of direct reports to include the following:
- Disciplinary processes, including corrective action notices
- Monitoring Cyber Recruiter and interviewing applicants for open positions
- Completing HR paperwork for transfers and other employment requests
Behavioral Health Crisis Center Admission Unit Clerk and Mental Health Tech supervision
- Provides oversight of the Unit Clerks and Mental Health Techs
- Ensures that chart checks and documentation for admission and discharge happen in a timely manner
- Ensure observation forms and Meal Observation Sheets are completed accurately and in a timely manner
- Schedules for gaps in coverage
- Onboards new employees as needed
- Ensures the smooth operation of services at the Crisis Center
- Creates and monitors flows and processes to improve patient care, safety, and efficiency
Administrative and other related duties as assigned
- Actively participates in Performance Improvement activities
- Actively participates in AltaPointe committees as requested
- Completes assigned tasks in a timely manner

Physical Requirements of the Job:
- There is frequent standing, sitting, and walking in bursts of 5 to 10 minutes at random. There are times when this can be extended to pacing with the patient for underdetermined amounts of time. Sitting and standing can be extended with the employee having the ability to change positions as permitted by the observance and behavior of the patient at that time.
- There is occasional forward bending from the hips while kneeling to reach to the side.
- There is an occasional need to be able to assume a full squat/lunge from a standing position.
- There is an occasional need to maintain back extension while being on one’s stomach with one’s own body weight on hips and legs. This position is maintained for several minutes.
- Occasionally, be able to put one’s own body weight on one knee and one elbow on the same side of one’s body.
- Occasionally, be able to kneel and reach to same side toward the floor.
- Lift up to 10 pounds from the floor to various levels, including from the floor to overhead occasionally during shift.
- Have the ability to lift up to 50 pounds to assist in activities of daily living, as required. Be able to lift up to 50 pounds from floor to waist.
- Strong grasp is needed to use keys to open doors throughout the facility and to maintain constant contact with a patient during a restraint procedure or with other hold techniques.
- Pushing/pulling force up to 25 pounds occasionally during shift.
- Fine manipulation of the hands for writing, typing and handling paperwork.
- Pushing/Pulling a force up to 30 pounds (vertical) occasionally and 10 pounds (horizontal) frequently during shift.
- Lifting various ranges from the floor to overhead with weights up to 5-15 pounds frequently and up to 15 pounds to handle reams of paper and files.
- Carrying up to 15 pounds various distances.
- Step ladder climbing to access higher shelves for filing, stocking and retrieving items.
