Responsibilities

Primary Job Functions: 

General Responsibilities:

  • Greets all consumers
  • Cancels and re-schedules appointments as necessary
  • Have consumers sign in
  • Answers telephone
  • Receives consumer requests for appointments/information and changes.
  • Records all telephone messages accurately and transfers to appropriate person timely
  • Handles routine requests from clinicians
  • Keys in no shows daily
  • Directs consumers to appropriate waiting area
  • Handles unscheduled consumers.
  • Requests consumers chart from medical records
  • Notifies appropriate clinician of consumer’s arrival
  • Schedules return appointments.
  • Reviews DSR for appointment information
  • Reviews clinician’s schedule and assigns appointment time
  • Gives consumer appointment card with next scheduled appointment
  • Protects and maintains the confidentiality of all records and patient information.
  • May perform Quality Assurance Process
  • Completes administrative review audits as necessary
  • Makes copies, faxes documents and performs other related clerical duties as needed
  • Adheres to 5 Star Customer Service guidelines when dealing with Team Leader, co-workers and patients.

 

Additional job duties depending on location may be as follows:

  • Verifying Insurance
  • Passing out prescriptions from the doctor to the Consumer
  • Assists with the patient assistance pharmacy forms as needed, which includes communicating with the Consumer regarding proof of income
  • Collecting Co-Payments
  • Posting Payments to Consumers account
  • Write the consumer a receipt for payments taken.
  • Preparing deposits to be taken to Finance and Accounting.
  • Enter Billing for various programs as needed.
  • Entering information into Avatar
  • Assist Consumers in receiving compensation for travel from Medicaid when needed
  • Completes Admissions, Discharges, and Transfers as needed
  • Coordinate appropriate services for consumers in Crisis
  • Pass out Daily DSR reports
  • Taking Verbal orders to be signed by various medical staff
  • May perform relief for other staff members
  • Assists with and works with all organization personnel involved with any aspect of release of protected health information to ensure full coordination and cooperation under the organization’s policies and procedures and legal requirements

 

Admissions responsibilities:

  • Ensure all releases are obtained and scanned into P.O.S. timely and accurately.
  • Accurately populate all fields as related to the admission process in the Avatar system as related to the patient’s insurance and guarantor rankings
  • Research all patients that present with no insurance through Medicaid and Medicare eligibility sites.
  • Adheres to all 5 Star Customer Service guidelines when dealing with Practice Manager, Team Leader, co-workers and patients.
  • Promptly responds to all Finance and Accounting requests to ensure prompt reimbursement.

 

General Office Professional Responsibilities:

  • Review documentation for any improper corrections, missing signatures, dates, etc.
  • Return incomplete documentation to the program supervisor.
  • Daily key billing information from the DSR into the CSM system appropriately.
  • File documentation in the appropriate section of the consumer record as needed
  • Completes administrative review when needed.

  • Seeks supervision and consultation as needed.
  • Accepts and employs suggestions for improvements.
  • Actively works to enhance skills

Administrative and Other Related Duties as assigned:

  • Actively participates in Performance Improvement activities.
  • Actively participates in AltaPointe committees as required.
  • Completes assigned tasks in a timely manner
  • Follows AltaPointe policies and procedures.

 

Physical Requirements of the Job: 

  • Continuous sitting (extended sitting) up to 2 hours at a time until break or lunch.
  • Reaching forward to place paperwork on a document stand.
  • Grasping to turn keys in doors throughout facility, grabbing files/paperwork
  • Lifting up to 10 pounds.
  • Carrying up to 10 pounds to transport small quantity of charts various distances in facility.
  • Fine manipulation/dexterity for data entry, writing and handling paperwork.
  • Standing and walking frequently throughout shift and to various locations in the facility to file charts and put up supplies.
  • Sitting can be in frequent bursts up to 10 minutes.  Extended sitting can be up to, but limited to 1 hour.
  • Forward reaching, reaching out to front, and overhead reaching with up to 5 pounds to 15 is performed when filing records and charts.
  • Forward reaching, overhead reaching and reaching down while filing medical record that can range up to 15 pounds.
  • Lifting various ranges from the floor to overhead throughout the day with up to 15 pounds (medical records and supplies).
  • Carrying up to 15 pounds various distances.
  • Step ladder climbing frequently to access higher shelves for filing and stocking/retrieving supplies.
  • Strong grasp/pinch grip needed to use keys in doors and to handle medical records.
  • Fine manipulation/dexterity to use computer, write and handle medical records paperwork.
  • Must be able to stand for long periods of time, continuously bend, stoop, kneel, crouch, reach and lift at least 10 pounds.
  • Must have visual acuity in at least one eye and manual dexterity.

Qualifications

High school graduate or the equivalent. Preferred candidates will have experience in insurance billing and other clerical experience in a Medical Office setting.
