Overview

BayouClinic provides primary health care to people of all ages, from the newborn to the grandparent, in an environment that is friendly and respectful. Our patients’ health and emotional well-being are first and foremost in our office. We emphasize preventative health and patient responsibility.

BayouClinic has provided health care with dignity to residents of Bayou la Batre and the surrounding area for 25 years.

Responsibilities

Greets all visitors entering the lobby

  1. Verbally greets and recognizes all visitors coming through the main lobby with appropriate greeting
  2. Obtains sufficient information from visitors in regards to the nature of the visit and makes the appropriate connection to staff
  3. Check-in/out patients in a friendly and respectful manner

  4. Verify and electronically input all necessary information into patient charts

  5. Oversee insurance verification; ensure authorizations are obtained in a timely manner, and collect and post payments and co-pays
  6. Request and send Medicaid and insurance referrals

  7. Advises employees that visitors are in the front area waiting to be seen
  8. Announces all visitors before referring them to go to employees’ offices or workspaces
  9. Ensures visitors sign in
  10. Tracks wait time for screenings and admissions
  11. Kindly advises visitors of policies as needed, e.g. smoking
  12. Ensures lobby and front desk is maintained in a clean, neat and organized manner
  13. Serves as point of contact for request of records by guardian ad litem

Handles incoming and outgoing calls for facility

  1. Answers all incoming calls with appropriate greeting and within a satisfactory number of rings
  2. Obtains sufficient information from callers in regards to the nature of the call and makes the appropriate connection to staff
  3. Keeps accurate records of phone repairs needed within facility

Administrative support and other duties

  1. Assist with any problems or discrepancies
  2. Schedule appointments using EMR
  3. Coordinate office procedures with medical staff and billing office to ensure smooth flow of operations
  4. Keeps abreast of staff whereabouts, facility related activities (like meetings and trainings occurring on site), and calendars to properly connect visitors/callers
  5. Records messages on behalf of employees and communicates messages to employees as needed
  6. Displays a courteous manner to all visitors/callers
  7. Uses discretion in discussions with visitors/callers
  8. Provides information to visitors/callers in relation to the facility
  9. Ensures the front desk is covered at all times during shift
  10. Distributes internal and external mail to appropriate staff or department
  11. Manages office mail and inventory and ordering of office supplies
  12. Other duties and projects as assigned

Qualifications

High school diploma or equivalent; at least one year experience working in a hospital or medical office setting preferred; proficient in the use of Microsoft Office products (Outlook, Word, Excel); ability to concentrate and maintain accuracy in spite of frequent interruptions, must be highly organized and detail oriented
